We are looking for a full time Retail Support Administrator to support our retail staff. This is a mixed administrative and customer service job in a fast-paced environment. We want someone who has a strong ability to multi-task, can work independently, a strong eye for details and a desire to move up and take on new skills and challenges as they arise.

Schedule:

Monday – Friday, 8:30 am – 5:00 pm

Job Summary:

The Retail Support Administrator overriding goal is ensuring smooth sales transactions for retail customers & assisting Retail Sales staff in administrative functions. They will be responsible for interfacing with retail sales persons & customers using phone, electronic, and in-person communication. While also handling all backend administrative tasks and communication with production staff to ensure order accuracy and timeliness.

Duties & Responsibilities:

• Answer retail phone calls, gather information from customers and greet retail walk-in customers
• Interact with retail sales staff; enter data, calendaring/scheduling delivery & settings, update orders, route proofs, double check orders & data.
• Manage and track memorial orders with CRM & SAGE systems, enter orders, and update in Sage/CRM.
• Respect QM wholesale partners’ relationships with families they serve.
• Forward orders to production acting as first contact to receive notifications that materials and photographic parameters have arrived.
• Process forms and request funds from finance dept. for payment of applicable fees to cemeteries or appropriate professionals.
• Communicate order changes to D&L, Production and Logistics Operations, properly document changes/updates.
• Receive final payments for orders, as back-up to Retail Rep or via phone request.
• Act as the aftercare program administrator coordinating mails/emails notice of final payment, shipment, and delivery while sending photos of completed memorial, and “thank you” cards.
• Social Media administration (Facebook, Instagram, Pinterest)
• Communicate customer complaints & recurrent problems to sales reps and the CR Manager.

Knowledge, Skills and Abilities:

• 1-2 years minimum experience in an administrative support role or customer service role.
• Empathy for retail customers’ grief and emotional needs.
• After training, develop a comprehensive knowledge of memorialization products.
• Strong mathematical, analytical and decision-making skills.
• Ability to use CRM software, Adobe Acrobat, & MS programs, including: Word, Excel, & Outlook.
